Verification Standards & Transparency Policy

This policy explains how Keyzi's verification process works, what it means for buyers and dealers, and its limitations.

Keyzi’s transparency commitment

Keyzi’s verification process is designed to reduce pricing opacity and hold dealers accountable. It is a meaningful review — not a rubber stamp. But it is also not an independent audit. This page explains exactly what we do and do not verify.

1. What “Keyzi Verified” Means

A listing marked Keyzi Verified has passed Keyzi’s manual review process. This means:

  • A Keyzi team member has reviewed the listing details for completeness and consistency
  • The dealer has submitted invoice documentation for the listed vehicle
  • The pricing fields (invoice price, dealer fee, taxes, registration, total OTD) have been reviewed for internal consistency
  • The listing has been approved and is actively presented to buyers
  • The dealer is bound to honor the submitted OTD price for 7 days after any buyer unlock

Keyzi Verified status is the platform’s signal that this listing has cleared our standard review. It is intended to distinguish reviewed listings from unvetted content.

2. What “Invoice Verified” Means

“Invoice Verified” indicates that the dealer has uploaded invoice documentation in connection with this listing, and that Keyzi has reviewed the document for surface-level consistency with the listing’s claimed pricing.

Specifically, invoice verification means:

  • The dealer uploaded a document consistent with a factory or dealer invoice format
  • The document references a vehicle matching the listed make, model, and trim
  • The invoice price in the document is consistent with the price entered in the listing
  • The document does not show obvious signs of alteration

Invoice verification is a review by Keyzi staff — it is not an independent forensic audit. See Section 5 for important limitations.

3. How the Review Process Works

Dealer Submission

Dealers create a draft listing, upload required documentation (photos and invoice proof), and submit the listing for review. Submitted listings are placed in a “Pending Review” queue.

Keyzi Review

A Keyzi team member reviews the listing for:

  • Completeness of required fields (VIN, year, make, model, trim, colors, drivetrain)
  • Presence of required documentation (at least one photo, invoice proof)
  • Pricing consistency (invoice price matches documentation, fees are reasonable)
  • Consistency between the uploaded invoice and the listed vehicle
  • Obvious red flags such as pricing significantly below market or inconsistent documentation

Outcomes

After review, a listing may be:

  • Approved — published to the marketplace as Keyzi Verified
  • Revision Requested — returned to the dealer with specific feedback before approval
  • Rejected — not approved; dealer is notified

Resubmission

Dealers may revise and resubmit listings that received a revision request. Each resubmission undergoes the same review process. Revision count is tracked internally.

4. Dealer Accountability Expectations

Dealers approved on Keyzi agree to hold themselves to the following standards as part of participation:

  • Submit only accurate, genuine pricing that reflects real costs
  • Upload only authentic, unaltered invoice documentation
  • Honor submitted OTD pricing when buyers arrive within the validity window
  • Disclose all fees upfront — no mandatory add-ons at point of sale
  • Notify Keyzi promptly if approved pricing becomes inaccurate
  • Cooperate with Keyzi's review and revision requests

Violations of these standards are tracked through Keyzi’s integrity scoring system. Dealers who repeatedly fail to meet these standards are suspended or removed.

5. Limitations of Verification

Keyzi’s verification process has real limitations that buyers and dealers should understand.

  • Keyzi does not independently confirm vehicle VINs with manufacturer databases
  • Keyzi does not physically inspect vehicles or confirm their current condition
  • Keyzi cannot detect sophisticated invoice forgery with certainty
  • Keyzi does not guarantee that all submitted documentation is 100% authentic
  • Verified pricing reflects the dealer's representation at the time of submission, not a price guarantee
  • Keyzi does not verify that specific vehicles are currently available in dealer inventory
  • Verification does not constitute a warranty, guarantee, or endorsement of the dealer or the transaction

Buyers should treat Keyzi verification as meaningful additional assurance — not an absolute guarantee. We work hard to maintain the integrity of the process, but no verification system is infallible. Contact us immediately if you suspect fraudulent pricing at support@keyzi.co.

6. Verified Pricing Validity Window

When a buyer unlocks a deal, verified pricing is valid for 7 calendar days from the date of unlock. During this window:

  • The dealer is contractually bound to honor the submitted out-the-door price
  • No additional mandatory fees may be added at point of sale
  • The Keyzi platform records the unlock date and expiration
  • The deal sheet displays the validity window prominently

After 7 days, the binding commitment expires. Pricing may have changed due to manufacturer incentive adjustments, inventory turnover, or market changes. Buyers should confirm current pricing directly with the dealer before proceeding after the validity window closes.

The 7-day window is designed to give buyers adequate time to make a purchase decision while balancing the reality of vehicle market volatility.

7. Moderation Philosophy

Keyzi takes a trust-but-verify approach to dealer participation. We want to give dealers the benefit of the doubt while maintaining accountability for buyers. Our moderation approach:

Good Faith Review

Most dealer submissions are reviewed in good faith and approved efficiently. Revision requests are issued with specific, actionable feedback so dealers understand what is needed.

Pattern Detection

We monitor listings and offers for patterns that may indicate pricing manipulation, bait-and-switch behavior, or systematic non-compliance. Dealers with repeated revision requests, buyer complaints, or pricing inconsistencies receive closer scrutiny.

Buyer Reports

Buyers can report issues with dealer behavior after unlocking a deal (e.g., dealer refused to honor pricing, pricing changed at point of sale). Reports are reviewed and may result in violations being issued to the dealer.

Transparency with Buyers

We believe buyers deserve to know how our verification works, including its limitations. This policy exists to provide that transparency. We do not overstate the strength of our verification to create false confidence.
